Please read through carefully before booking with us

All orders are accepted subject to the following terms & conditions and subject to availability. YorksHire GamesHire reserves the right to change these terms & conditions at any time.


Item Hire

  

  • Our products are subject to specific safety warnings. WARNING:Children should always be supervised by an adult. Our games are not suitable for children under 36 months due to sharp points, heavy elements, risk of physical injury and choking hazards.


Booking Fee & Cancellation


  • To secure a booking, a deposit of £50 must be paid at the time of booking. The remaining balance must be paid at any point before 14 days prior to the hire date.


  • We accept payment via cash or bank transfer.


  • Should you wish to cancel your order, you may do so in writing at any time. If cancellation is made then you will lose the amount paid up to that point - therefore if you choose to cancel within 14 days of your event, then the full amount will be payable. However if you choose to cancel earlier than 14 days before your event, you will only forfeit the deposit, and will not be required to pay the remaining balance.


 Loss or Damage of Goods


  • Although all items remain the property of YorksHire GamesHire, whilst in possession of our items you are wholly responsible for them. Our items should not be left outdoors or displayed outside in bad weather. If our items get wet or damaged in any way then replacement costs will apply. 


  • An inventory of items will be supplied with your order - we will check items against this on collection/delivery and on return.


  • You are liable to cover the replacement costs of any items lost or damaged during your hire period. A full list of replacement costs will be provided with your inventory.


  • Whilst in possession of our items you must make every effort to ensure that your guests respect our property, and also adhere to the general health and safety guidance provided with your inventory to ensure that everyone can enjoy our items and packages safely. Please ensure (and advise your venue staff) that all items are brought indoors during rainy weather - any items damaged by wet weather will be charged for. We also strongly advise that all our games are brought inside and put in a safe location prior to the beginning of any evening reception, as our experience has found that the majority of damages and losses to our property takes place later in the evening when people are intoxicated.  


  • It is your responsibility to ensure that all items are available for collection at the agreed time, and to communicate this information to the venue staff where appropriate. In cases where items are not ready for collection, or where items are missing and later found, it will be your responsibility to return the items to us, or to cover the additional travel costs incurred by us if we need to make additional journeys to retrieve them.


Personal Data and Privacy Policy:


YorksHire GamesHire are committed to protecting your privacy. When you book with YorksHire GamesHire, you enter in an agreement, which means that we will collect certain information and data about you. 

We use this data to:
- Provide the services to you that you have requested. 

- To keep in contact with you regarding your wedding or event.                     

- To collect and recover money that is due to us. 

- To obey laws and regulations that may apply to us. 

- To run our business in an efficient and proper manner. 

- To enable us to respond to complaints and seek to resolve them.


Please find details below of what data we collect:

1-When you fill out a request form with YorksHire GamesHire on our website we will ask you to provide your Identity Data:
First Name, LastName, EventDate, Event Venue and Email Address


2-When you book and pay your deposit with YorksHire GamesHire we will ask you to provide your Identity Data: 

First Name, Last Name, Email Address and Venue Address.  


3-When you contact YorksHire GamesHire we retain information dependant on the call, content or letter of conversation.

YorksHire GamesHire does not collect, use or disclose sensitive personal information such as race, religion or political affiliations, without your explicit consent.


In order to provide the highest level of customer service possible, we need to keep accurate personal data about you. We take reasonable steps to ensure the accuracy of any personal data or sensitive information we obtain. We are committed that the source of any personal data or sensitive information is clear and we carefully consider any challenges to the accuracy of the information. We also consider when it is necessary to update the information, such as name or address changes and you can help us by informing us of these changes when they occur.


Retention of data:
We will ensure that all hard copies of personal data documents and records are clearly labelled with non-sensitive information. These documents will then be secured in cabinets. No unauthorised person will have access to these documents or be able to make copies of documents that contain personal information. 
 
We will store your data for 6 months after your event or for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements.
Transmitting information over the Internet is generally not completely secure, and we can’t guarantee the security of your data. Any data you transmit is at your own risk.


YorksHire GamesHire advises you to review the privacy policies of websites you choose to link to from the YorksHire GamesHire website so that you can understand how those websites collect, use and share your information. YorksHire GamesHire is not responsible for the privacy policies or other content on websites outside of the YorksHire GamesHire website.


If you choose not to give us your personal data information it will prevent YorksHire GamesHire from being able to meet its obligations. It may also mean that we are unable to perform services required and YorksHire GamesHire will have to cancel your booking. Any data collection that is optional will be made clear at the time of collection.

Third parties:
Your Financial Data is the data that we use to process your YorksHire GamesHire booking payments. We do not hold or process your card details ourselves, they are processed and stored via Lloyds Bank Plc.  


Sharing your data:
We share your personal data with the following organisations:
-Our payment provider, currently Lloyds Bank Plc.   

-Invoice payments through QuickBooks.                                                        

-Any organisation you ask us to share your personal data with. -Any mailing or printing agents, contractors and advisors that provide a service to us or act as our agents on the understanding that they keep the information confidential.                                                                                                           

-Anyone to whom we may transfer our rights and duties under any agreement we have with you i.e. for payment processing.

-We may pass on your personal information if we have a legal obligation to do so, or if we have to enforce or apply our terms of use and other agreements. This includes exchanging information for legal reasons.

We are making changes to our policies, processes, products and systems to ensure that we comply with the Regulation and continue to put data protection first. We’re also committed to helping our customers meet their requirements under the Regulation.”

We have obligations to you under the terms of your YorksHire GamesHire Terms and Conditions, whether current or past, and also our duties and responsibilities arising under rules and regulations applicable to all companies such as ours. You have rights in relation to your personal data held by us. These include your right to ensure that the data collected is accurate and, if it is not, requesting changes and notifying us of any restrictions you wish to make in relation to our use of your data or even requesting it is removed altogether. In practical terms the best way to access and manage your data is request from us the details we hold for you and request any changes.

You have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer.
